Smart Boards Maintenance Agreement
SUMMARY:
Possible Board action to approve a contract with Visual Innovations for maintenance services for Smart Boards in an amount not to exceed $35,000.00 [Kathy Bruck, Pre-K 4 SA CEO]
BACKGROUND INFORMATION:
For the 2013-2014 school year, a total of thirty-eight Smart Boards were purchased from Visual Innovations for a total cost of $268,916.50. The Smart Boards were installed in classrooms and training rooms at the North and South Education Centers. The South Education Center received twenty Smart Boards and the North Education Center received eighteen Smart Boards. In June 2014, two additional Smart Boards were purchased and installed in training rooms in each of the East and West Education Centers for a total cost of $14,153.50. The two-year manufacturer warranty for these Smart Boards only covers parts and will expire in 2015. This purchase is made in accordance with a cooperative contract through the TXMAS program.
The service plan from Visual Innovations offers comprehensive protection including full coverage on parts and labor, on-site and in-shop repairs, 48-hour guaranteed response time, loaner equipment for extended downtime, service reports and free transport of equipment for repairs or manufacturer's warranty service.
ISSUE:
To ensure the forty Smart Boards function properly and are promptly repaired as needed, Pre-K 4 SA requests a two-year maintenance agreement with Visual Innovations for a total cost not to exceed $35,000.00.
ALTERNATIVES:
If the Board does not approve the requested maintenance agreement, Pre-K 4 SA will not have support for Smart Board service issues.
FISCAL IMPACT:
Funding for year one of the agreement is available in the FY 2016 Pre-K 4 SA Operating Fund budget. Year two funding is subject to approval by the Corporation's Board of Directors.
