SUBJECT:

Truss and Motor Control System for the Alamodome

SUMMARY:

This ordinance authorizes acceptance of a contract with Xtreme Structures and Fabrication to provide the Convention and Sports Facilities Department a truss and motor control system for use at the Alamodome for a total cost of $200,387.56.  Funding is available from the FY 2018 Community and Visitor Facilities Fund.

BACKGROUND INFORMATION:

Submitted for City Council consideration and action is the attached tabulation of one bid response to provide a truss and motor control system for use at the Alamodome for a total cost of $200,387.56. The truss and motor control system will be utilized in conjunction with blackout curtains to blackout the upper levels of the Alamodome and create a more intimate experience during events where the upper levels are not utilized.

The department’s existing motor control system was designed to be used for coverage of half of the upper level of the Alamodome.  Utilizing the new motor control system, the Department will be able to position the blackout curtains throughout the entire upper level of the Alamodome. The truss and motor control system will be installed using the department’s annual contract for rigging services.  The motor control system ascends and descends the cables as needed allowing the curtains to be raised, lowered, and positioned in the correct areas to block out the upper levels of the Alamodome.  The controllers lower the cables to the floor level allowing curtains to be hung and hoisted up to be positioned in the locations needed in the upper levels of the Alamodome.

The bid submitted by Xtreme Structures and Fabrication met all specification requirements.

ISSUE:

This contract with Xtreme Structure and Fabrication will provide a motor control system to be utilized to hang curtains to cover a portion of the upper level of the Alamodome. Xtreme Structures and Fabrication provides a 1-year standard warranty on materials and workmanship for motor controllers and trusses, and a lifetime warranty on materials and workmanship for hoists.

The Small Business Economic Development Advocacy (SBEDA) Ordinance requirements were waived due to the lack of small, minority, and/or women businesses available to provide these goods and services.

There were no bids submitted from local bidders for this contract; therefore, the Local Preference Program was not applied.

The Veteran-Owned Business Program does not apply to goods/supplies contracts, so no preference was applied to this contract.

ALTERNATIVES:

Should this contract not be approved, the Convention and Sports Facilities Department would have to rent a motor controls system on an as-needed basis resulting in higher costs to the department.

FISCAL IMPACT:

This ordinance authorizes the purchase of a truss and motor control system from Xtreme Structures and Fabrications in the amount of $200,387.56.  Funds for this purchase are available from the FY 2018 Community and Visitor Facilities Fund.
